On-Campus Memorial and Vigil Guidelines

91ÖÆƬ³§Pro University Policy: Memorials and vigils following the death of a registered student

91ÖÆƬ³§Pro University recognizes the profound impact the loss of a student can have on the campus community. In honoring the life of a deceased student, the following provides guidance for the planning and coordination of memorials and vigils held on university property.

1. Student-Led and University-Supported

The University does not initiate or host memorials or vigils, as a matter of practice, in instances of a 91ÖÆƬ³§Pro University community member's death. In the event that a student group wishes to pursue a specific vigil or memorial they must reach out to the Dean of Students CARE Team and/or the Residential Life Student Support Team to ensure appropriate coordination and support.

2. How to coordinate a memorial or vigil

To initiate a memorial or vigil, students or student groups must directly contact the CARE Team via email at: dos@binghamton.edu.

  • If multiple students or student groups reach out, the Dean of Students CARE Team will work to coordinate a collaborative effort, as deemed appropriate.
  • It is highly recommended that the CARE Team is contacted within at least two business days to help in coordination of the event.

3. Family communication and considerations

The Dean of Students CARE Team serves as the University’s primary liaison with the student’s family and will determine what information is appropriate to share regarding any planned memorials or vigils.

  • The wishes of the student’s family will be taken into account when considering requests for a vigil or memorial.
  • Out of respect for the family and to eliminate confusion during a difficult time, all communication with the family will be handled by the CARE Team.

4. University Policies for On-Campus Memorials/Vigils

All memorials and vigils held on 91ÖÆƬ³§Pro University property must adhere to established university policies and procedures. These include, but are not limited to, the following:

  • Space Reservations: Events hosted in or around the University Union must follow official space reservation procedures. Please refer to the most up-to-date The Union, reservation guidelines.
  • Noise Control: All sound levels must remain respectful and compliant with university noise regulations.
  • Event Promotion: Any announcements or advertisements for the memorial/vigil must be reviewed and approved by the Dean of Students CARE Team prior to distribution or posting, to ensure accuracy and sensitivity.
  • Open Flames Prohibited: The use of lit candles or any open flames is strictly prohibited on all campus property, in accordance with university safety policies.

This guidance is in place to honor the lives of deceased students in a manner that is compassionate, respectful, and aligned with university values and policies. Thank you for helping foster a caring and supportive community.
